A complaint on social media is still a complaint.

ASIC’s Regulatory Guide 271 expects complaints received through social media to be handled like any other. Brolly captures every post, comment and message on your official channels as it happens, so compliance teams can find the complaint, show how it was handled and keep the record for as long as your policy requires.

Why it matters

Four reasons the compliance team wants the archive.

RG 271 shapes how complaints are handled. Your record retention obligations shape what you keep. The comment thread shapes your reputation.

RG 271

Internal dispute resolution

Our understanding of ASIC’s guide is that a complaint made through social media must be handled under your IDR process where the complainant is identifiable and contactable. It has applied to complaints received since 5 October 2021.

Records

Advice and marketing conversations

Replies from advisers, product questions answered in comments and promotional posts can all need to be kept under your record retention obligations. Screenshots miss the edits and deletions that matter most.

AFCA

When a complaint escalates

If a matter goes to the Australian Financial Complaints Authority, you will want the full thread, including what the customer said and when you responded, with timestamps you can rely on.

Reputation

The thread that turns

A public comment thread can become a liability quickly. Capture it, moderate it under rules you set and keep the evidence of what happened and what you did.

Two jobs. One record.

Customer conversations and compliance should not compete.

Let the people closest to the customer keep talking. Give the people answerable for the record everything they need to review it.

One connected path from capture to response.

Brolly keeps the record. Your IDR process decides how the complaint is handled.

Never miss a beat

Archiving is only half the story.

There is no point in creating an archive unless you can retrieve records easily when they are required. Brolly gives authorised staff 24/7 access to verifiable records complete with metadata, links and media, and exports in PDF, CSV, HTML and JSON for a regulator, AFCA or your legal team.

  • Search by keyword, date, account, author or tag
  • Digital checksums that preserve chain of custody
  • Retention settings that follow your own policy
Keep it safe

Platforms change. Your record does not.

Social media platforms change their policies and features constantly. Once your accounts are connected, Brolly takes care of those changes for you, and Brolly Protect helps hide harmful or non-compliant comments quickly while the record of what was posted is kept.

Compliance questions

Asked by compliance managers and their legal teams.

Does RG 271 apply to complaints made on social media?
Our understanding of ASIC’s guide is that complaints made through social media channels must be handled under your internal dispute resolution process where the complainant is identifiable and contactable. That puts a comment or direct message on the same footing as a complaint made by phone or email, including the response timeframes. RG 271 applied to complaints received from 5 October 2021. Read ASIC’s Regulatory Guide 271 for the detail and take your own advice on how it applies to you.
What does Brolly actually capture?
Posts, comments and replies, reactions, edits, deletions, shared images and video, and direct messages where the platform API provides them, each with its metadata, timestamps and a digital checksum. Brolly connects to Facebook, Instagram, Threads, X, YouTube, LinkedIn and TikTok through official APIs.
Can we be alerted when a complaint appears?
Yes. Set alerts for keywords and phrases, such as “complaint”, “AFCA” or a product name, and the people who need to know receive an email when they appear in a post, comment or message. Records that belong together can be tagged so the full history of a complaint is easy to retrieve.
How does Brolly help with advice and marketing records?
Conversations with customers about products and services, promotional posts and adviser replies are all captured as they happen, including anything later edited or deleted. Retention settings follow your own record retention policy, so the records are there for as long as you need them and can be exported when a regulator, AFCA or your legal team asks.
Where is the data stored and who can see it?
Your data is stored on AWS cloud servers located in Australia. Access is role-based, so compliance, marketing, customer service and legal teams each see what they need. Brolly is certified to ISO/IEC 27001:2022 and registered with CSA STAR.
How long does setup take, and what does it cost?
