Inside SA Dental’s Search For Smarter Archiving

What started as a search for more efficient recordkeeping ended in a smarter, scalable system that saved hours of manual admin.

The challenge: good systems and growing demand

Social media never sleeps – and neither does the need for accurate, accountable recordkeeping.

At SA Dental, the Corporate Correspondence team already had well-established systems for managing their social media presence. But exporting records? That part of the process was manual and becoming time-intensive.

“We didn’t have a platform that could bulk export all of our social media records”

As engagement grew across their channels, so did the volume of posts, comments, and direct messages (DMs) needing to be captured and archived.

They knew their existing process wouldn’t scale. It was time for a smarter, faster way to capture the increasing load – one that would save time and make compliance easier.

Discovering a smarter way to archive

A recommendation from another SA Government agency put Brolly on their radar.

“Brolly brought all of our social media channels together for bulk exporting of social records,” Matthew explains.

Getting onboarded with Brolly was refreshingly easy – no complications or technical hurdles.

“The setup and process of connecting all of our social channels to Brolly was seamless.”

One standout feature quickly made a difference: automated reporting.

Instead of manually compiling records, a complete report of the previous month’s activity lands in the team’s inbox. It’s reliable, timely and requires no manual effort.

“We are emailed a PDF of all records, which makes the process a lot easier.”

Additionally, the ability to archive direct messages (DMs) along with posts and comments has been “a bonus” for the team, ensuring no conversation is missed.

Turning a recordkeeping recommendation into results

Since making the switch to Brolly, SA Dental has archived 3,972 records across their social media accounts—without the admin burden they once faced.

“Without Brolly, it would have been impossible to export all of these records,” says Matthew.

What was a manual, time-consuming task is now a fully automated and reliable process. With Brolly, the team can use their valuable time where it matters most – knowing their recordkeeping is completely covered.
