Their goal? A positive viral social post that is shared thousands of times. But the more these posts are shared, the harder it is to manage and report on the subsequent conversations and comments.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The problem<\/strong><\/h2>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>The downside to big data<\/strong><\/h4>\n\n\n\n<p>What happens if:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>someone wants to sue you over a comment on a social post that no longer exists, and only they have a screenshot of?<\/li><li>or perhaps they ask for information under the Freedom of Information Act, about a conversation you had with them over 6 months ago?<\/li><li>someone has been bullied or harassed online and you need access to the posts to take appropriate action, but they\u2019ve been deleted or edited?<\/li><li>or what if you just want to know how well a particular campaign performed last year?<\/li><\/ul>\n\n\n\n<p>Posting on social media may seem in the moment, but these sorts of scenarios demand rigor around archiving this engagement.<\/p>\n\n\n\n<p>The reality is that most social media managers either ignore this responsibility, or they do it in an ad hoc manner.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Compliance is now required<\/strong><\/h4>\n\n\n\n<p>Yet, in government, several federal, state and local legislations and regulations clearly demand social media records be archived, and some even specify how.<\/p>\n\n\n\n<p>For example, under the Federal&nbsp;<a href=\"https:\/\/www.legislation.gov.au\/Details\/C2016C00772\"><em>Archives Act 1983<\/em><\/a><em>,<\/em>&nbsp;government organisations are required to maintain records of business related activities.<\/p>\n\n\n\n<p>As part of this,&nbsp;<a href=\"http:\/\/www.naa.gov.au\/information-management\/managing-information-and-records\/types-information\/social-media\/social-media-policy\/index.aspx\">National Archives Australia (NAA)<\/a>&nbsp;has identified three components of social media records management that organisations need to consider when drafting their social policies and setting up their workflow:&nbsp;<a href=\"http:\/\/www.naa.gov.au\/records-management\/agency\/create-capture-describe\/index.aspx\">create, capture and describe<\/a>.<\/p>\n\n\n\n<p>Put simply, when capturing social content, you need to make sure the information is complete and searchable, by those with a need for it, now and in the future.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>The solution<\/strong><\/h2>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>What social media archiving solutions are available?<\/strong><\/h4>\n\n\n\n<p>It\u2019s not just federal government that recognizes the future potential for things to go terribly, as a result of today\u2019s reactive social media engagement style. State governments have also updated their record management policies in an effort to reduce devastating fallout.<\/p>\n\n\n\n<p>For example, the&nbsp;<a href=\"https:\/\/www.prov.vic.gov.au\/\">Public Records Office of Victoria (PROV)<\/a>&nbsp;suggests <\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\"><p>\u201cManually saving a screen shot of the post along with information regarding its context as a Word or PDF document\u201d.<\/p><\/blockquote>\n\n\n\n<p>T<a href=\"http:\/\/search.archives.tas.gov.au\/Default.aspx\">he Tasmanian Archives and Heritage Office (TAHO)<\/a>&nbsp;takes this advice a step further: \u201c<a href=\"https:\/\/www.informationstrategy.tas.gov.au\/Records-Management-Principles\/Document%20Library%20%20Tools\/Guideline%2018%20Managing%20Social%20Media%20records.pdf#search=social%20media\">Where social media platforms and applications in use do not provide the required contextual metadata as part of the export process, manual strategies will be required<\/a>.\u201d<\/p>\n\n\n\n<p>The downside to \u2018manual strategies\u2019, such as archiving screenshots, is that it\u2019s not only time consuming but can also result in incomplete archives, because engagement with one post can continue for days, weeks or even longer.<\/p>\n\n\n\n<p>In Western Australia for example,&nbsp;<a href=\"https:\/\/brolly.com.au\/case-study\/brolly-social-media-records-management\/\">City of Joondalup reported<\/a>&nbsp;that manual capturing was taking at least one afternoon a week for a member of their communications team.
